Important Vendor Information

    • Only items that were submitted and approved with the Vendor application are acceptable for sale. No flea market/re-sale items are allowed. Failure to comply will result in being asked to modify your booth or leave the show without refund.

    • A Retail Merchant Certificate must be displayed in any booth that is collecting Indiana sales tax. In addition, a sign indicating the Vendor is collecting sales tax must be visible. This certificate is not required if the Vendor does not collect Indiana sales tax.

    • Booth spaces are approximately 9’x9’. Please be courteous of your neighbors and stay within your dedicated space.

    • Tables and chairs are NOT provided. You will need to bring your own.

    • Tables MUST be covered to the floor.

    • Electrical cords are NOT provided. If you paid for electricity, you will need to bring your own cord(s), no longer than 50’ and rated for outdoor use. Paying for electricity includes a single, 15amp receptacle per outlet. No more than 1000watts may be connected to any one receptacle. Cords should run along walls or under tables only and not be in the way of any foot traffic or exits.

    • Pop-up tents/canopies are prohibited.

    • Attaching signage, merchandise, displays, nails, screws, anchors, pins, staples, tape, or any other item to walls, windows, doors, bleachers, etc. is prohibited.

    • Heritage Hills Middle/High School and the Santa Claus Arts & Crafts Show are SMOKE FREE ZONES. Smoking, vaping, and e-cigarettes are prohibited on campus.

    • Any machine plugged into an electrical outlet (including, but not limited to: candle warmers, Crockpots, slow cookers, 3D printing devices, embroidery/sewing machines, etc.) must be attended to at all times.

    • Any animals, other than service animals, are prohibited.

    • Vendors are encouraged to decorate their booths in a festive manner.

  • SET-UP:

    • Set-up is restricted to the times below. Entrance to the site is not permitted before or after the noted times. Event times are CENTRAL TIME.

      • Friday, December 13th, 2024: 6pm – 8pm CT

      • Saturday, December 14th, 2024: 7am – 9am CT

    • Booths are in one of two gymnasiums, the “White Gym” & the “Blue Gym,” as well as the Lobby area leading to the Blue Gym. The gymnasiums are located within two connected buildings, meaning that once inside, vendors/patrons can access both gyms without going outside. There are separate entrances, one to each gym, if desired.

    • Vendors with a “W” booth should use Door 33. Vendors with a “B” or “L” booth should use Door 34 (the main entrance to the middle school). See the map below for entrance numbers/locations.

    • All vendors MUST check-in with a show coordinator upon arrival. A coordinator will be set up at the entrance to each of the two gymnasiums (Door 33 & Door 34). There may be additional entrances to each space, but only the main entrances marked on the map are to be used for entry unless given prior approval by a show coordinator.

    • You may park along the curb in front of either main entrance for unloading only. On Friday, once you have unloaded, please move your vehicle to a nearby parking lot. On Saturday, once you have unloaded, please park in the dedicated “Vendor Parking” lot (see below for a map of the campus). This will keep the main parking areas clear for patrons. Vendor vehicles must be moved from the main entrances by 8:30am CT on Saturday morning. Handicap accessible spaces are available near the gymnasium entrances.

    • Volunteers will be available at each gym to help with unloading and delivering items to your booth space if needed.

    TEAR-DOWN:

    • Tear-down is at 4:00pm CT on Saturday. Tearing down your booth early will exclude you from future shows.

    • Wi-Fi Password: The “guest” wi-fi network does not require a password on Friday evening or Saturday.

    • Restrooms: Men’s and Women’s restrooms are located in the lobby areas of each gymnasium. Restrooms/locker rooms within each gym are not available for use.

    • ATM: There is not an ATM located onsite. There are ATMs located in the town of Santa Claus at Spencer County Bank, Spencer County Visitor’s Bureau (previously Fifth Third Bank), and Santa’s Lodge.

    • Food/Beverage:

      • Bee Original Dawgs food truck: Biscuits & sausage gravy (breakfast only), specialty hot dogs, nachos, chili cheese nachos, walking tacos, chips & drinks will be available outside the Middle School.

      • Patriot Nutrition: Loaded teas & coffees will be in the Lobby to the Blue Gym.

      • Stay Brewed: Coffees, hot chocolate, & energy drinks will be available in the White Gym.

      • Baked goods & sweets are being sold at several booths throughout each gym/lobby.

      • Vending Machines: A snack machine is available near the Blue Gym.

      • Show coordinators and volunteers will be available during set-up times and during the show on Saturday. They will be wearing red lanyards with the Santa Claus Christmas Celebration Logo.

      • You may call or text the number above with your questions from 3pm CT on Friday, December 13th through 6pm CT on Saturday, December 14th . Calls/texts made outside of this time frame will not be answered as this is a temporary phone line.

    • While we understand that emergencies arise, any no-call/no-show will result in exclusion from future shows. Please email or call/text (during set-up & show times) as soon as you know you will be unable to make it to the show. Cancellations are not refunded after October 14, 2024.

    • Santa Claus Arts & Crafts Show committee members will remove anything believed to be dangerous or that has the potential to subject Heritage Hills High School, Heritage Hills Middle School, North Spencer School Corporation, America’s Christmas Hometown, Inc., or the Town of Santa Claus to unnecessary liability.

    • Rules for the Santa Claus Arts & Crafts Show are subject to change without notice at any time.

    • By participating in the Santa Claus Arts & Crafts Show, vendors and their assistant(s) may be photographed and/or recorded for use of promoting the Santa Claus Arts & Crafts Show; the town of Santa Claus, Indiana; Spencer County, Indiana; etc. If a vendor or their assistant(s) do no wish to be captured, the Santa Claus Arts & Crafts Show committee should be notified in writing by emailing SantaClausShow@outlook.com.

    • The Town of Santa Claus and the Santa Claus Christmas Celebration will not be held responsible for any loss, damage, defacement, or destruction of any property displayed to the Vendor no matter how it is caused. This also include Personal injury. The Town of Santa Claus and the Santa Claus Christmas Celebration provides no insurance on the Vendor or against the acts or omissions of the Vendor, its agents, or employees. All insurance for personal property, public liability, and personal injury must be carried by the Vendor.
